PA/Office Manager c. £27,000 - £32,000 depending on experience
A fantastic opportunity has arisen to work for the founders of a truly dynamic creative Design firm. They look after the very bespoke requirements of their Ultra-HNWI client base. The role requires someone not only with traditional PA skills but also requires someone who has experience of keeping across lots of different projects. The Directors are constantly under alot of pressure so need someone with a very organized and thorough approach, especially when deadlines are all converging at the same time!
We therefore need a confident self-starter who can maintain an efficient upbeat office, making sure systems in place so that all administration stays under control and the directors feel completely organised.
The role-holder must:-
Live within easy reach of Chelsea
Have experience of working within a small organisation, plus have previously undertaken a very varied role
Mother tongue English but some form of written/spoken French would be great.
Self starter – you will need to resolve all sorts of issues quickly and efficiently with very little or no guidance
PA elements of the role will involve
Extensive diary and international meeting and travel arrangements – both Directors have a very packed schedule where constant last-minute changes need to be factored into their arrangements
Lynch-pin co-ordinator between the office in London and France - the work undertaken by the Directors is very project based so they need someone to keep them on track with each individual project to ensure that team members across the company know what they are supposed to be doing when
Taking Minutes at Meetings and making sure all action points are followed through
Excellent spoken and written English: proof reading e-mails and correspondence before it goes out and making sure the grammar and punctuation is 100% accurate
Excellent planning and prioritisation skills needed to ensure that the Directors time is planned as efficiently as possible
Answering the phone in an efficient and confident manner, using your initiative where appropriate to resolve things without having to involve the directors so their input can be avoided where appropriate
Keeping directors in touch with all developments whilst they are out of the office
First point of contact for visitors – meeting and greeting, preparing refreshments, dealing with all visitors to the office in a confident and pleasant manner
Ad hoc personal work for the Directors and running personal errands for them
Office Management
The Directors do not have the time to get involved with how the office should be run and therefore need someone who understands how an office functions without having to be told. The Directors want to leave the running of the office to this person in the confidence that things are being dealt with in a practical efficient manner.
Ordering stationary and supplies into the office, and keeping checks on stock levels
Organising repairs and general office maintenance
Day to day care of the office so that it always appears immaculate before and after meetings
Creating and maintaining and tidy/orderly working environment
There will also be an element of PR and Marketing responsibilities which will involve speaking to industry journalists, writing press releases and implementing marketing strategies. Full training will be given in this area and it is expected that this area will grow with the role
