Job description

JOB DESCRIPTION

To be responsible for managing and organising all of the administrative activities which facilitate the smooth running of the office.

The diversity of this role means you will be involved in many aspects of the company and will be a key part of a small team.

HOURS OF WORK

9:00 AM till 6:00 PM (includes one hour unpaid lunch)

ESSENTIAL JOB DUTIES

§    All general office duties including but not limited to:
o        Handling staff recruitment and appraisals
o        Keeping personnel records including holidays, sick days, overtime etc.
o        Ensuring that health and safety policies are up to date
o        Maintaining the condition of the office and arranging for necessary repairs
o        Preparing letters, presentationand reports
o        To provide administrative support to other departments when required
§    All general bookkeeping and billing duties including but not limited to:
o        Dealing with provisioning and billing, service terminations
o        Chasing debtors and issuing reminder letters
o        Reconciling office accounts and general day-to-day book keeping
o        Recording office expenditure and managing the budget
§    All general clerical duties including but not limited to:
o        Arranging call-outs, on-site works and installations
o        Managing customer contracts and records
o        Liaising with staff, suppliers and clients
o        Organising and chairing meetings including typing the agenda and taking minutes
o        Dealing with correspondence, complaints and queries

KNOWLEDGE, SKILLS AND ABILITIES

§    Good business and finance administration knowledge
§    Awareness of bookkeeping and accounting procedures
§    Excellent oral and written communication skills
§    Excellent interpersonal and negotiating skills
§    Good time management and organisational skills

EDUCATION, QUALIFICATIONS & EXPERIENCE

§    Diploma or equivalent in business administration or business management or equivalent industrial training work experience
§    Some sales support and project management experience is desirable, but not mandatory
§    Knowledge of Mamut Business Software is desirable
