Job description

Job Purpose:

To provide total support for the directors of the business's. Being the first point of contact with internal and external contacts.

Covering a vast spectrum of PA duties duties including,

Purchasing
Stock control
Staff contracts
Vehicles
Staff rotas
Payroll
Bookeeping
Mailshots 
Marketing
Stationery
Training
Visiting each site
Problem solving
Maintenance and cleaning

Secretarial duties;

Enhances effectiveness by providing information management support.

Duties:
* Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.

* Organises work by reading and routing correspondence; collecting information; initiating telecommunications.

* Maintains department schedule by maintaining calendars for department personnel; arranging meetings, conferences, teleconferences, and travel.

* Completes requests by greeting customers, in person or on the telephone; answering or referring inquiries.

* Maintains customer confidence and protects operations by keeping information confidential.

* Prepares reports by collecting information.

* Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.

* Keeps equipment operational by following manufacturer instructions and established procedures.

* Secures information by completing database backups.

* Provides historical reference by utilising filing and retrieval systems.

* Maintains technical knowledge by attending educational workshops; reading secretarial publications.

* Contributes to team effort by accomplishing related results as needed.

Administrative Writing Skills, Reporting Skills, Supply Management, Scheduling, Microsoft Office Skills, Professionalism, Confidentiality, Organization, Travel Logistics, Typing, Verbal Communication

You will be required to work the hours required to complete each task, have outstanding interpersonal skills, be totally flexible, a problamatic and strategic thinker. Working hours are not standard hours as the job role requires a degree of flexibility dependant on the task. This would have benefits to work flexible hours at times.

This role would suit a dynamic, hardworking, forward thinking individual who enjoys hard work and a challenge. The ability to learn quickly, digest information and provide customised soluctions at a moments notice.

Must have driving license and own vehicle
Advanced knowledge of Word, Excel and IT systems in general
