Job description

Job title:  Administrative Assistant

Responsible to: Office Manager
Department: Administration
Main purpose of job: To perform general administrative duties and provide support to the Administrative Officer as required.
Work Area: Administration
Location: Hersham, Surrey
Employment Type: Full time - 8.30am - 5.30pm - Monday to Friday

Duties Include:

General Office Support:
Receive and file incoming letters, documents
Maintain stationary supplies and coordinating deliveries
Arranging travel
Diary management
Answering general queries by telephone
Photocopying documents
Maintaining records, filing systems and computer files
Supply and manage office equipments, machines or properties to office and manufactures, kitchen utilities
Front of House
Undertaking any other tasks / duties as may be reasonably required

Sales Support:
Raising customer quotations for the sales team
Chasing the sales staff for approvals of their quotes
Assisting staff to raise QRFs (quotation request forms) and supporting them with any queries or questions
At times sending the quotes directly to customers and passing their queries onto the sales team
Processing orders
Dealing with order queries
Preparing maintenance renewals and obtaining approvals
Identifying where the quotes need to be sent and sending to the relevant customer
Updating the spreadsheets on a daily basis
Sending out orders - licenses certificates, support etc.
Discussing any issues with direct line manager and other management
Dealing with suppliers
Invoicing customers
Post supplier invoice
Logistics

These are the key duties and responsibilities for the post and they are subject to regular review.  Any significant changes to the role will be subject to consultation.

Requirements
1.     Good Communication skills, English skills
2.     Good command of PC skills including MS Word, Excel and Powerpoint
3.     Be flexible and earger to learn new things
4.     Possessing good teamwork spirit


Role

As Administrative Assistant you will be expected to act as part of the administration team and as such your job will involve you in supporting other members of the team from time to time. Your job is to perform basic administration to enable the Office Manager 

Salaries and benefits

The post is a starting salary of £15,000 upto £18,000 depending on experience
Private healthcare and Pension Contribution following 3 month probationary period
