OFFICE MANAGER/ADMINISTRATOR
Purpose
To manage the London headquarters of DLT Entertainment UK. This includes the day to day administrative management of the company, the up keep of the Bedford Square building and IT management of the facility and company affairs. The company is an established independent television producer and distributor. It has had significant long running series and is currently engaged in developing new productions in multiple genres. The company is part of a larger group whose parent is DLT Entertainment New York, a respected television production and distribution company in the US. In the UK it has two sister companies, DLT/Raydar, a UK based television distribution company, and the Theatre of Comedy Company, operators of the DLT owned Shaftesbury Theatre. All UK companies are based within the Bloomsbury/Holborn area and work both individually and together on projects.
The ideal candidate will be experienced, confident, exceptionally well organized and possess excellent interpersonal skills. As a key member of our team, the chosen candidate will be responsible for the management and administration of all office operations.
The postholder reports to the Senior Producers (in the London office) and Senior Executives (from the NY office). The Senior Producers are also their line manager.
Duties
To manage all matters for the efficient operation of the London headquarters.
Management of the building structure and facilities
Effective oversight of all regulation for places of work
Management of relations with utilities and outside suppliers
The day to day operation of the offices, ensuring effective systems for the support of the producing team
Diary management oversight for all senior staff
Diary co-ordination for all DLT Executives when visiting the UK, with particular attention to Don Taffner Jr.
Effective visitor management.
Management of all office equipment, functions and supplies.
Supervision of and liaison of cleaning staff
Day to day management of the IT systems operated by the Company. This shall include:
Management and troubleshooting the company’s computer network. Undertaking routine tasks and under direction from others the development and upgrade of the system.
Management of the Company’s various websites and (if applicable) social networks of Facebook and Twitter. Identifying and developing technological developments in close consultation with Don Taffner Jr
Management of the telephony systems.
Receipt and logging of all scripts liaising with the relevant producers and appropriate communication with writers.
Support of the producers during casting and set up of productions.
Liaison and support for the studio team when the company is in production.
Liaison and co-ordination with the Company Accounts department, housed at the Shaftesbury Theatre; this shall include:
Supply of all production contract information.
Management of the Office operation budget
Reconciliation of Bank, credit card and Petty Cash information.
To provide effective and timely reports as requested by the Senior Producers or on occasion the DLT senior executive team.
To maintain effective and positive relationships with all departments of the Company, Theatre of Comedy Company and suppliers.
To work on any special projects as identified by the Senior Producers.
To manage the travel arrangements for all Senior Executives.
Management of databases and filing systems.
To comply with DLT Entertainment’s Equal Opportunities and Health and Safety Policies at all times.
